Configure Internet Explorer (IE) to Printing Waybills

Printing waybills on myXend makes you download a PDF file, this is quite simple but Internet Explorer (IE) users encounters a problem on this. The reason is by default IE blocks downloading of files on the internet because of “potentially unsafe content”. This tutorial is to configure your IE browser to allow seemless download of waybill files on myXend.

This is how your browser would look like initially when you’re not yet configured to download waybills:

For all websites, IE will block or prompt you whenever you download from the internet. Sometimes it just blocks download and do not inform you, that’s when the problem arises and it seems that myXend doesn’t respond.

Anyway, let proceed in configuring IE buy double-clicking the internet (globe) icon on the status bar. Alternatively, you can go to “Tools > Internet Options” (if the menu doesn’t show just press Alt key). Once you’re there, you are presented with the following dialog:

Then click “Trusted Sites” to select it, and then click “Sites” button. The dialog below appears:

Enter the following in the “Add this website to the zone” and click “Add” button:

  1. http://www.xend.com.ph
  2. https://www.xend.com.ph

Note: Check “Require server verification (https) for all sites in this zone” when adding URL address with “https”, and un-check this on “http” URL addresses.

After adding the two (2) URL addresses, click “Ok” and we’re back to the “Internet Security” dialog. From here, click “Custom level…” button and we’re presented with the following dialog:

In the “Security Settings – Trusted Sites Zone” dialog, locate the “Download” section and select “Enable” for the “File downlad” entry. Click “Ok” and also click “Ok” on the “Internet Security” dialog.

We’re done. Now you can seemlessly download waybill files (PDF) from myXend.


Automatic Shipping Notification

The myXend online shipping management system has the email notification feature which let’s the shipper inform their consignee (through email) about the impending shipment. The shipping notification is automatically sent depending on the settings in the “Settings > Auto Email” section. Also, included in the notification are the tracking number of the package and other details.

With this email notification tool, it involves email addresses from both parties. Thus, email addresses can have typographical errors which result to email bounces.

We are currently receiving lots of bounced email because of the questionable authenticity of the consignees’ email addresses.

For this reason, here are few pointers on how you can verify the email address of your consignee:

  • Verify the spelling of the email address
  • Try sending an email to them from your own email address and wait if the recipient received it

Accuracy of the email address makes sure that your shipping notification will reach them.

Disclaimer: Xend is only providing a bridge between the sender and consignee thru email notifications and is not responsible for any error obtained by clients when sending. Hence, we will also not inform if one email bounces.


Include Return Address on your Waybill

By default when you print your waybill it does not include the return address, just your account name. Now you can include your return address with every waybill that you print.

To configure your return address on your printed waybills, please follow the step below:

1. Go to “Settings > Account” section and then click the “Other” tab

2. Click “Edit Settings” and check the “Include return address in waybill”

3. Then click “Save Changes” to apply the setting

After this your done, print some waybills to test it out. Enjoy!

Follow up on myXend Badge Update

The delivery count in the myXend Badge is determined by delivered shipments made using myXend-printed waybills exclusively. The count increments automatically whenever a shipment is marked as delivered. The reason why hand-written waybills are not updated in the badge is because waybill information is insufficient to be accounted to each myXend Account.

There are certain limitation which also limits us in regards to the process of the update we previously announced. And now there a question on why allow hand-written waybills to be updated in the badge?

  1. Due to requests from our clients who’ve used hand-written waybills without knowledge of the myXend Badge which we have launched last February 15, 2009.
  2. When myXend was launched on March 15, 2008, many still opt to use hand-written waybills; this is why we only allow to update of the badge from shipments picked up from this date.

And in regards to the update, we are still in the process of updating each records. The process is tedious and time-consuming because we verify each hand-written waybills according to ownership and the inclusive dates.


Announcement: Update your myXend Badge with your hand-written waybills

Greetings,

This is to announce that we will be allowing the ONE-TIME update of your myXend Badge (delivery count) with the previous hand-written waybills you have used. Normally, your delivery count updates only when your shipment is delivered using the myXend-printed waybills.

Since we have only launched the myXend Badge in mid-February 2009, those who used hand-written waybills did not benefit from it.  As a courtesy, we will allow a ONE-TIME update of your myXend Badge. To update your myXend Badge please follow the procedure below:

  1. Create an excel file named <accountcode>.xls (e.g. 010109001.xls)
  2. Place the word “WaybillNo”, without the quotes, on A1 (column A, row 1)
  3. On column A, encode your waybill numbers from row 2 downward
  4. Once done, save the excel file on the filename mentioned above on item #1
  5. Then email the excel file to support@xendexpress.com

Please take note of the following guidelines:

  • We will only update your badge with those shipments picked up from March 15, 2008 to February 15, 2009.
  • The deadline for the submission of the excel file is April 30, 2009
  • Gift coupons will not be awarded for hand-written waybills with this update.

Printing Waybills

In the previous post I discussed on how to Create Shipment. The essence of creating a shipment is to print waybills, this tutorial teach you just that.

There are two (2) pages where you can print waybills: New Shipments and Archive Shipments.

  • The “New Shipments” page displays the list of shipments that you have created, in which are not booked nor printed.
  • While the “Archive Shipments” page shows the list of shipments that are booked and/or printed.

To start printing your waybill, go to either page. And select the shipment you want to print by checking the checkbox on the left.

Then, click the “Print Selected” button. You will then receive a download confirmation prompt:

When using Internet Explorer the download may be blocked. Please configure your browser’s download settings to fix this.

You can either “Save File” or “Open with” the waybill. Just click “Ok” and open the file. The waybill will then open in Adobe Acrobat Reader.

You need Adobe Acrobat Reader version 8 or higher to open the waybill.

To print the waybill, just go to “File > Print” or press “Ctrl-P”.

There you have your printed waybill!


Creating Shipment

Here we’ll talk about creating a shipment, the first and basic step in your shipment transaction.

1.) To start creating your shipment, first log in to myXend and click the “Create Shipment” button

2.) Now you are presented with the Create Shipment form:

Create Shipment3.) Select the Service you want to use for your shipment:

  • International Express
  • International EMS
  • International Postal
  • Metro Manila Express
  • Provincial Express

For further information regarding Xend’s services please log in to http://www.xendexpress.com/services.html.

Each service requires you to fill up certain fields:

  • Purpose of Export – is required for all international shipments
  • Country Manufactured – is required for International Express shipments
  • Country – is automatically filled (and doesn’t appear) for all domestic shipments
  • Province – is automatically filled (and doesn’t appear) for Metro Manila Express shipments
  • Postal Code – is required for all international shipments

4.) Select the Type of package with either “Parcel” or “Document”. Note that for some service, documents that exceeds a certain weight is considered as parcel (e.g. for International Express, more than 5kg of documents is considered as parcel).

5.) If you selected any of the international shipment service, please select the Purpose of Export:

  • Gift
  • Personal (for International Express) or Documents (for International EMS or Postal)
  • Commercial Sample
  • Other

6.) Specify the Client Reference by indicating personal reference for you item for your backtracking purposes (e.g. Serial Number, Model No., Manufacture Date, etc).

7.) Special Instructions is a particular instruction on how to handle your package (e.g. Fragile, handle with care, to be received only by consignee, etc).

8.) Commodity is the description of your package (e.g. Shirt, Bag, Gadget, etc).

  • This field can be either filled or selected from the Commodity List.
  • You can save your entry on the Commodity List by checking the “Save Commodity to Commodity List” checkbox. It will be save on the list once the shipment is created.

9.) Specify the Weight and dimensions (Length, Width and Height in cm) of your package. The weight use for rate calculation can be either the actual or volumetric weight, whichever is higher. See below on how to compute the volumetric weight:

  • For international shipments, the formula is “L x W x H / 5000″
  • For domestic shipments, the formula is “L x W x H / 3500″

10.) The currency of the Declared Value is in US Dollars for international shipments, while Philippine Peso for domestic shipments. For No Declared Value or NDV, just specify zero (0) in the field.

11.) For eBay members, please specify eBay Item No for special discounts. For more information, please log in at http://www.xend.com.ph/ebay.

12.) Specify the consignee details by filling up the following fields:

  • Name
  • Company Name
  • Street 1
  • Street 2
  • City
  • State/Province
  • Postal Code
  • Country
  • Phone No
  • Email (by specifying your consignee’s email address, the system will send automatic *Email Notification for your shipment when enabled)

The consignee information can be automatically save to the *Address Book when the “Save Contact to Address Book” checkbox is marked checked. Also, you can select your consignee in the Address Book for previously saved entry.

The *Intelli-Fill is an intuitive field input for copy and paste purposes to ease encoding of your consignee’s information.

13.) Then either click “Save” or “Save and Create Another” button to save your shipment.

Guide to Booking for Pickup

Booking for pickup is a free service that Xend provides. This guide is for myXend booking only, you can also book for pickup using the following (but without the same day booking privilege):

To book on myXend, follow the procedure below:

Book for Pickup

  1. Login to myXend
  2. Click “Book Pickup” icon on the quick launch panel (on the left)
  3. Specify the booking date (please check the Booking Restriction below)
  4. Check the pickup address(es)**
  5. Specify remarks (number of packages, pickup time request***,  etc.)
  6. Click “Book for Pickup” to finish booking
  7. A message regarding your booking will appear; if successful, you will be provide a reference number

Booking Restrictions

There are certain restrictions when booking for pickup, below are the following:

  1. Cannot book on Sundays
  2. Cannot book on Holidays
  3. Cannot book twice for a day** (for the same pickup address)
  4. *Cut-off time rules
  • Booking on weekdays for “same day” pickup requires you to book before 12 noon of the same day
  • Booking on Saturdays requires booking before 7pm of the previous day (which is Friday)

*This is the current cut-off times and is subject to change without prior notice
**You can book multiple times a day provide the pickup addresses are different
***We don’t guarantee pickup time although we try our best to meet your request

The New myXend Badge

Yesterday we email blast all Xend’s Clientele announcing the upcoming release of the new myXend Badge. The new badge will have redefined levels and the Gift-mo-Meter. The badge’s levels will have different numbering range from the current level numbering; it will be a lot smaller therefore easier to gain levels. The reason for this is the Gift-mo-Meter, the easier to level the more easier to get gifts from us. The gifts will be awarded for each “milestones” attained on each levels.
